Camp Booking Conditions

When you book your child on to Mallinson Holiday Camps you enter into an agreement with us which is based on our booking conditions and frequently asked questions accessible on the website. Mallinson Holiday Camps are managed by Mallinson Sports at Highgate School. Mallinson Camps can only be booked by the week, there are no single day bookings except for specialist single day camps.

Payment Terms and Booking Confirmation

The agreement between you and Mallinson Sports will commence when payment is made and is when these booking conditions take effect from. The agreement is between Mallinson Sports and the person who made the booking, if this person is not the parent or guardian of the child(ren) attending then it is your responsibility to ensure they understand these booking conditions. Bookings must be made online and will be confirmed via email. You will be required to complete and return to us the enrolment form. It must be fully completed before we can accept your child. It is the responsibility of the person making the booking to ensure that all details provided are accurate, in particular, full information about each child, including medical and other special educational needs, and emergency contact information. If we do not have all this information before camp starts, your children will not be allowed on site.

Your booking confirmation will be sent to the email address provided upon registration. This will include camp type, dates, times, payment and child’s details. This should be checked and Mallinson Sports should be contacted immediately if there are any issues. Responsibility for all booking details lies with the person making the booking.

Mallinson Sports accept payment with PayPal. This must be done online at the time of booking.

Refunds & Credit Notes

Camp bookings are non-refundable. Refunds will only be issued for medical reasons that are supported by a note from a medical professional via email. In the event of a refund a PayPal receipt and signed note from a medical professional must be provided. When applying for a refund, Mallinson Sports must be notified as soon as possible. If your child is not able to attend the camp for the whole week due to sickness, Mallinson Sports must be notified as soon as possible by the conclusion of the camp week.

Holiday Camp credits for future camps may be issued if a booking needs to be cancelled prior to the camp commencing, the distribution of credit notes is at the full discretion of Mallinson Sports. Please note, Breakfast and Late Club bookings are non-refundable.

Programme & Activity Amendments

Most activities offered at Mallinson Camps are active and require physical activity. There is also a mixture of indoor and outdoor activities which are dependent on weather. It is recommended children wear breathable fitness clothing that allows them to participate in all activities.

There is a planned schedule of activities throughout the week. However, Activity Leaders will tailor day to day activities to their group. Due to weather conditions and operational factors, we cannot guarantee your child will participate in a specific activity on a specific day. Any timetables displayed on camps are a guide and subject to change. Specific activities such as swimming are scheduled in every day, however, this does not necessarily guarantee a swimming session every day.

Swimming sessions are only for children aged year 3-7. Children in the year 1-2 group will not be allowed to swim during Mallinson Camps. This is for health and safety purposes.

Your Responsibilities

When booking your child on a holiday camp you acknowledge that they have a reasonable level of fitness, are in good health and will show a willingness to partake in activities.

When registering your child, you will be asked to fill out information fields such as emergency contact number, dietary requirements and any other special requirements. It is vital these are filled out accurately so that Mallinson staff are as well informed as possible. Mallinson Sports will not be responsible for any issues caused by misinformation on the registration form.

We reserve the right to decline to accept or cancel any bookings if in our reasonable opinion a child is dangerous, continuously disruptive, inappropriate or is regularly having a negative impact on camp enjoyment for staff and other children. If a child is removed from the camp for the reasons outlined above, the parent will not be eligible for a refund. Behaviour deemed inappropriate may include but is not limited to:

  • Physical assault against children or adults
  • Verbal abuse of, threatening behaviour towards or malicious allegations against pupils or adults
  • Child on child abuse, including bullying
  • Sexual misconduct
  • Theft, vandalism, or illegal activities
  • Any conduct that facilitates, encourages or makes possible, any of the offences listed above
  • Persistent disruptive behaviour
  • Leaving the site unless accompanied or having informed a member of our staff
  • Wilfully leaving allocated areas without good reason

All children are expected to abide by these rules and conditions.

Mallinson Camps work within Highgate Schools behavioural policy to identify disruptive behaviour and deal with it in the appropriate manner. Depending on the nature of the misdemeanour, the range of daily sanctions Mallinson Camps would expect to see would include:

  • Verbal warning
  • Loss of privileges
  • Being sat in the office for a period.

If after these sanctions are enforced and the disruptive behaviour continues, we may exercise our right to call parents and remove the child from the camp for the day or the rest of the week if required.

Special Requirements

Mallinson Camps are an inclusive environment, we tailor our activities to ensure all ages and abilities are catered for. If your child has any special requirements such as dietary or any learning requirements it is essential, we are informed upon registration. If you wish to discuss your child’s requirements in further detail with us, we welcome a discussion via email, phone or in person.

Unfortunately, we are not able to provide additional staff to support a child beyond our standard ratios of 1:12 for our year 3-7 groups and 1:8 for our years 1-2 groups. Where we feel that a child is not coping within these ratios, we reserve the right to ask the parent/carer to come and collect their child.  No refund will be available.

First Aid and Illness

Physical activity is a core part of Mallinson Camps, as such physical injury is always a possibility. In the event of an accident first aid will be administered by a first aid qualified staff member and emergency services will be called if necessary.

Essential prescribed medication such as Auto Injectors (EpiPens) must be handed in to reception at the start of the day for safe keeping. These can be collected at the end of the day or can be left with the Mallinson Sports team should you wish.

We ask that if your children are ill or unwell that they do not attend camps. Please see our refund policy on this. If children become unwell during camps parents may be asked to come and collect their child.

Safeguarding and Child Protection

Safeguarding is a priority at Highgate (Mallinson Sports Centre). As such we strive to promote the well-being of all children and protect them from harm and abuse.

If we have any concerns about a child, we will endeavour to raise it with the parent/carer in the first instance. As we aim to work in partnership with the family. Parents / carers can also speak with a member of the DSL team to raise any concerns they may need support with.

We work in-line with our safeguarding policy, and as such there may be instances where we need to liaise with other agencies to share information without speaking to parents/carers first.

Breakfast/Late Club

Normal Camp opening hours are from 9:30am – 3:30pm. Children can attend the camp earlier or later for an additional cost. Breakfast Club runs from 8:00am – 9:30am and Late Club runs from 3:30pm – 5:00pm. Children who arrive at camp prior to 9:00am and have not paid for Breakfast Club will incur a Breakfast Club daily fee of £8. Children picked up after 4:00pm will need to have paid for Late Club for the week. If not, there will be a daily fee of £8.

If you are going to be late picking up your child for any reason, we ask that you call reception and let us know as soon as possible. Mallinson Camps close at 5:00pm, if children have not been collected by this time, then parents will be contacted – this may also incur an £8 fee. Additionally, if your child does not require collection or is being collected by someone different to the registered contact persons, Mallinson Sports must be informed. This is for your children’s safety and parent/guardians’ cooperation is appreciated.

Filming/Photography

To ensure marketing material is updated regularly, photos/videos may be taken of camps. As part of registration, parents will be asked whether they consent for photos to be taken of their child and used for promotional material. If you do not wish for photos of your children to be used for promotion of camps on the website and Highgate School social media platforms, then you can leave the box unticked. If filming/photography is due to take place, parents and children will be informed and parents that have opted their children out will not be included in any photographs.

Valuables/Lost Property

Mallinson Sports are not responsible for any lost property or valuables whilst children are attending the Mallinson Camps. As such, children are discouraged from bringing valuables such as jewellery, mobile phones etc. to Camps. We will endeavour to recover any lost property and keep this at reception.
